​We (K ARC Dance) take privacy and data protection very seriously. This privacy policy explains how we process any personal information that we collect about you.

This privacy policy provides you with details of how we collect and process your personal data through your use of our services and use of our website www.karcdance.com.

2. How We Use Your Information 

We will only collect information where it is necessary to do so and relevant to providing our services to you. Your email contact details as provided by you, are kept in our records to provide our services to you, to respond to customer requests and to send you updates regarding your K ARC Dance bookings. You will only receive our regular email newsletters if you have opted in our mailing list (via using the subcribe form on our website or by giving consent when booking/ attending our class). You can choose to unsubscribe at any time.

We may share your first name and last name with our associate teachers and venue partners for them to have a class register on the day of the classes and/or events using the details you provide when you make a booking with K ARC Dance.

3. Third Parties & Service Providers

We may pass your details to service providers and subcontractors to help us with any of our uses of your data to enable us to provide our services to you. We will only work with agents and subcontractors who comply with data protection legislation. We will provide your name and email address to these service providers and subcontractors only for the purpose of enabling our services such as to manage your bookings, for payment processing, or to handle customer queries. Some of these providers are outside the European Economic Area, and we endeavour to ensure they comply with the relevant data protection legislation.

We may exchange information with third parties for the purposes of fraud protection and credit risk reduction. We will never sell or disclose your personal data to third parties without obtaining your prior consent unless this is necessary for the purposes set out in this agreement or unless we are required to do so by law. We never share your information with third parties for marketing purposes.

4. Privacy & Security

We have in place appropriate security measures to prevent unauthorised or unlawful access to or accidental loss of or destruction or damage to your information.

We maintain physical, electronic and procedural safeguards in connection with the collection, storage and disclosure of your information. Our security procedures mean that we may request proof of identity before we disclose personal information to you.

5. Your Rights

To be informed

When providing personal data to K ARC Dance, we will be clear for what reason it will be used at the point it is collected. 

We use the Mailchimp email tool to keep in touch with our students, and you can also rectify the contact information you originally provided through this platform. To do this, simply click ‘update your preferences’ at the bottom of any email you receive via Mailchimp. If you wish to access or to rectify personal data, or if you wish to receive any personal data we hold on you, please contact info@karcdance.com and we will respond to your request within one calendar month. 

To erase your data
If you wish to have your data removed entirely from our records, please contact us using contact form or email info@karcdance.com, we will respond to your request within one calendar month. Please note that for legal reasons we are required to keep financial/transactional records for a minimum period of six years from the end of the financial year in which the transaction was made.

Please note, due to Covid-19 we are currently required by law to keep your details for minimum of 21 days for NHS Track and Trace purposes. 


To withdraw your consent
If you wish to withdraw your consent from receiving our email communications (newsletters, etc.) this can be done easily by clicking ‘update your preferences’ or ‘unsubscribe’ at the bottom of an email you receive from us.

To object to, or restrict data processing

If you object to the processing of your personal data, or wish to restrict the way in which it is processed by us, please contact us using the contact form and we will respond as soon as possible. Please note that this may affect our ability to participate in our classes/ events you have booked, if any. 

6. How long we retain data


All online and offline personal data that we hold will be retained for a five year period, after which it will be destroyed.
Financial records will be retained for a minimum period of six years from the end of the financial year in which the transaction was made in order to comply with statutory obligations.

7. Cookies and how we use them


A cookie is small file which seeks permission to be placed on your computer's hard drive. If you agree the file is added and helps to analyse web traffic or lets you know when you visit a particular site. Importantly cookies 'recognise' you and allow web applications to respond to you as an individual, by tailoring its operations to your unique needs and preferences by gathering and remembering information.

As a business we use cookies to identify how and which pages on our website are being used. This information then helps us analyse data about web page traffic, with the aim of improving our website in order to better meet our customer's needs. We only use this traffic information for statistical analysis and then the data is removed from the system.

Overall cookies help us provide you with a better website, by enabling us to monitor which pages you find useful and which you do not. A cookie does not give us access to your computer or any information about you, other than the data you choose to share with us. You can also choose to accept or decline cookies. Most web browsers automatically accept cookies but you can modify your browser setting to decline cookies if you prefer, however this may prevent you from taking full advantage of the website functionality.

Cookies do not collect personal data.

7. Complaints

If you wish to complain about the way in which your personal data has been processed by K ARC Dance please email us at info@karcdance.com or use our contact form. Your complaint will be handled formally in accordance with our complaints procedure.
